Position
Summary:
Responsible for performing all administrative duties supporting the Sr. VP, Biologics, Development, Scientific and Medical Affairs. In addition to typing, filing and scheduling, performs duties such as obtaining supplies, working on special projects, answers non-routine correspondence and assembles highly confidential and sensitive information. This position requires attention to detail and excellent organizational skills. Independent judgment, actions and initiative are required to plan, prioritize and organize diversified workload, and recommends changes in office practices or procedures where needed. Deals with a diverse group of employees and contacts at all levels of the organization.
Responsibilities: Essential Duties
Manage and coordinate designated calendars.
Schedule and organize complex activities such as meetings, travel, conferences and department activities as needed.
Prepare reports, presentations, manuals, agendas, correspondence and memos as guided by general company practice.
Submit all expense reports for designated manager(s) in accordance with the Travel and Expense Policy guidelines.
Listen to instructions, interpret information and produce the appropriate materials / documentation under own initiative.
Processes and reconciles Purchase Orders and Invoices.
Works with Department Heads and Directors to continuously monitor and maintain yearly department budgets.
Oversees and updates Approved Vendor Listings.
Scans and files documentation supporting R&D, Manufacturing, MSA and Quality activities.
Supports Regulatory Affairs activities by completing annual FDA Registration, Tissue Banking Licenses, Medical Device License renewals.
Make updates to Corporate Calendar.
Prepares monthly ETM Presentations and Board Meeting materials.
Assists with Administrative Support pool work as assigned on occasion by the Executive Assistant as well as prepare necessary reports, presentations and information as requested by the Executive Assistant.
Serves as a backup for other AIS/AIC/AB Functional support roles as needed.
Must comply with applicable ISO and FDA regulations as stated in Quality Manual

Expertise: Knowledge & Skills
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Qualifications

Required:
High School Diploma or GED Required, Associates Degree Preferred

Years in Administrative Field
Proficient Knowledge of Microsoft Office Applications (Word, Excel and PowerPoint)
Proficient Oral and Written Communication Skills
Proficient Conflict Resolution and People Skills
Proficient Knowledge of Business Math
Desired:
Experience in Lotus Notes, SAP and Concur Preferred but not Required
While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to handle or feel and reach with hands and arms.
